User Management

Overview

The Users module lets tenant administrators manage team members and control their access level via roles.

Roles

Note: Only users with the Admin role can invite, edit, or deactivate other users.

User List

Navigate to Users in the sidebar to see all team members. The list shows:

  • Name and email address
  • Role
  • Active/Inactive status
  • Last login date

Click any row to open the user's detail page.

Managing Users (Admin)

Users with the Admin role have access to full user management directly in the app.

Creating Users

Click New User in the top-right of the Users page. Fill in:

  • Name — The user's display name (shown in the header and throughout the app)
  • Email — Must be unique within your tenant
  • Role — Sets the user's permission level

Local Users

Every user created through the app UI is a local user — they have no HGE ID login and cannot sign in to the application. Local users are useful for representing people (employees, contractors) who need to be tracked in the asset lifecycle but don't have direct app access. They are marked with a Local User badge in the list.

To grant someone login access, contact your administrator to provision a full HGE ID account for them.

Editing Users

Click the pencil icon on any row to open the edit panel. You can change:

  • Name — Updated immediately in the header for logged-in users
  • Role — Takes effect on the user's next request
  • Status — Deactivating a user prevents login without deleting data

Admins cannot remove their own admin role or deactivate their own account.

Deactivating Users

An admin can deactivate a user from the edit panel. This prevents login without removing data or history. Deactivated users are shown with an Inactive badge.

Your Profile

Click your name in the top-right header and select View Profile to see your own profile, including:

  • Display name and email
  • Your current role
  • Member since date
  • Last login timestamp

Display Name Sync

Your display name is automatically kept in sync with your HGE ID account. If your name is updated in HGE ID (e.g. by an administrator), the change is applied the next time you make any request to the application — no manual action required. The updated name is shown immediately in the header.

User Detail Page

Click any row in the user list to open the user's detail page. It shows:

  • Core data (name, email, role, status, last login)
  • Assigned Assets — all assets where the Assigned To field points to this user, displayed in a table with status, type, serial number, and purchase date

Click any row in the Assigned Assets table to navigate directly to that asset's detail page.

User Quick-View Panel (from Asset Overview)

In the Assets overview, click on any user name in the Assignment column to open the user quick-view panel without leaving the asset list. The panel slides in from the right and shows:

  • User name, email, role badge, and active/inactive status
  • Member since and Last login timestamps
  • Assigned Assets table — all assets currently assigned to this user

Configurable columns

The assigned assets table is fully configurable. Click the Customize Columns button to:

  • Toggle individual columns on or off
  • Reorder columns with the up/down arrows
  • Reset to the default layout with the Reset button

Column preferences are saved in the browser and persist across sessions. The available columns are: Tag, Name, Type, Status, Purchase Price, Created.

Edit from the panel (Admin)

Admin users see an Edit User button in the panel header. Clicking it opens the standard user edit dialog without closing the panel.

Open full profile

A link at the bottom of the panel navigates to the full user detail page for extended information.

Navigating to an Asset

In the Assigned Assets table (both in the panel and on the full detail page), click any row to navigate directly to that asset's detail page.

Search

Use the global search bar (⌘K) in the header to quickly find users by name or email from any page in the app.
