Asset Movement Processes

Overview

A Movement is the execution of a lifecycle process (e.g. Issue, Return, Check-In) on one or more assets simultaneously. Movements provide a structured, wizard-driven workflow that captures required data at each step and automatically updates asset fields on completion. Every movement gets a human-readable ID such as MOV-000001.


Starting a Movement

There are three ways to start a movement:

  • From the asset list — select one or more assets using the checkboxes, then click Start Process in the action bar that appears at the bottom of the screen.
  • From the asset detail page — open any asset and click Start Process to run a process on that single asset.
  • From the process detail page — open a process in the Flow Editor and click Start to launch a new instance.

After choosing a process, the movement wizard opens.


Completing the Wizard

The wizard guides you step by step through the process you selected:

Required steps must be completed before you can proceed. Use Next and Back to navigate between steps.


Asset Field Binding

In the Process Editor, each step can be bound to an asset field. When a step is bound, its collected value is automatically written back to the asset on movement completion:

This allows movements to serve as the single source of truth — no manual editing of the asset is needed after a process completes.


On Completion

When all steps are finished and you click Complete:

  1. The asset status is updated to the Target Status defined for the process (e.g. In Use after an Issue process).
  2. Any bound field values are written to the asset.
  3. A handover protocol (Übergabeprotokoll) becomes available for printing — accessible from the movement detail view.

Movement History

Every asset keeps a full record of all movements it has been part of. To view it:

  1. Open the asset detail page.
  2. Switch to the Movement History tab.

The history shows each movement's ID, process name, date, executed by, and final status.


Cancelling a Movement

  • Admins can cancel any in-progress movement.
  • Helpdesk / Technician users can cancel movements they started themselves.

To cancel, open the active movement and click Cancel Movement. Cancelled movements appear in the movement history with a Cancelled status. Asset status and field values are not changed.
