Tenant lifecycle

A tenant has a beginning and an end. This article describes the end: cancellation, retention period, data export and deletion — and at which point a decision can still be taken back.

#Cancelling

You start cancellation under Billing › Cancel account. Three things follow:

  • The subscription ends at the end of the current billing period
  • You receive a confirmation by email
  • The retention period of 60 days begins

#Retention period

Those 60 days are deliberately not a countdown to data loss but a safety net. During that time:

  • Access remains fully active
  • A banner shows the days remaining
  • You can export your data
  • You can take the cancellation back at any point

After that, access is blocked. Automatic deletion is scheduled for 90 days from cancellation in total.

#Exporting your data

Under Billing › Export data you download your records as CSV:

Tip
Export early, not on the last day. The export is available outside a cancellation too and works well as a regular backup held outside the system.

#Reactivating

As long as the tenant is not permanently deleted, you take the cancellation back under Billing › Reactivate account. A successful payment restores full access automatically.

#Automatic deletion

90 days after cancellation the tenant's data is deleted automatically. Two warnings go out beforehand — 14 days and 3 days before the date.

#Immediate deletion

Delete account irreversibly waives every deadline. To confirm, you have to type the company name exactly.

Caution
This action cannot be undone. Assets, users, locations, processes and audit logs are removed immediately and for good — including the records you might still need for an audit. Export first.
